Every CRM demos beautifully with clean sample data. The one that works is the one your team still updates in month six, which usually means the one with the fewest required fields and the best email integration.

The four questions that decide it

  • Does it capture activity automatically? If logging a call or an email is manual, it will not happen. Native inbox and calendar sync is the single highest-value feature.
  • Sales pipeline or marketing platform? Some of these are deal trackers; others are marketing suites with a contact database attached. Buying the wrong shape means paying for half a product you never open.
  • What does the free tier really include? Generous free CRMs are a well-established acquisition funnel. Check which wall you hit and what it costs to pass it.
